A venue checklist before vending placement
A practical guide from NextVend for venues and event organizers.
A good vending proposal should explain more than the machine and the revenue share. The venue and operator need a clear plan for the location, everyday work and what happens when something needs attention.
1. Describe the audience
Record who visits, when the venue is busiest, how long guests stay and what they already buy. Estimated traffic is useful, but it is not a guarantee of sales. A machine category should make sense for the actual guest mix.
2. Check the physical site
Identify the proposed space, line of sight, guest access and loading route. Obtain the exact dimensions, weight and utility requirements for the proposed model. Check doorway, lift and floor constraints before arranging transport.
3. Assign daily responsibilities
The agreement should specify supplies, storage, replenishment, cleaning, waste and any food-handling tasks. Daily cleaning may be a venue responsibility in some arrangements. Do not assume unattended vending means no human work.
4. Define support and escalation
Ask how faults are reported, who assists guests, how refund requests are handled and what on-site service is available. Remote diagnostics can be useful, but they do not answer every repair or cleaning problem.
5. Make the commercial terms readable
Agree the revenue definition, share, reporting, payment timing and any deductions or venue obligations. Record the pilot duration or review date if there is one. A clear calculation is more useful than a headline percentage without context.
6. Review after real operation
Once a machine is running, assess actual demand, care requirements, downtime and guest feedback. Future decisions should use the placement’s own evidence. Do not present another operator’s sales or a supplier’s projection as your venue’s result.
